The GLBT Historical Society is a 501(c)(3) nonprofit educational organization that collects, preserves, exhibits, and makes accessible to the public materials and knowledge to support and promote understanding of LGBTQ history, culture, and arts in all their diversity. Founded in 1985, we are recognized internationally as a leader in the field of LGBTQ+ public history.
JOB POSITION: Development Associate
The Development Associate plays a vital support role within the organization's fundraising team. The Development Associate will assist the development and communications staff with the administration and stewardship of the donor database, support donor relations, and provide administrative support to grow our donor and member communities. The Development Associate will also participate in the planning and execution of Development-related events, including our annual gala and stewardship events throughout the year.
The ideal candidate has experience working with Salesforce, our customer relationship management database; possesses excellent administrative and organizational skills; has an interest in learning about varied areas of nonprofit development; and enjoys collaborating with staff, supporters, and external partners. The ability to manage multiple deadlines and competing projects is also key.
This is a full-time hybrid position, requiring work in our San Francisco offices approximately three days per week and occasional evening and weekend work. The Development Associate reports to the Director of Development & Communications (DDC) and collaborates with team members from across the organization.
KEY RESPONSIBILITIES
Data Management & Database Support (30%)
- Manage and update donor and constituent records in Salesforce to ensure data accuracy and integrity.
- Input and code donations, sponsorships, grants, and other fundraising transactions.
- Generate reports, dashboards, and queries to support fundraising campaigns and organizational reporting needs.
- Assist with the segmentation and targeting of donor outreach based on data insights.
Donor Stewardship & Communication (20%)
- Draft and send acknowledgment letters, receipts, and thank-you notes for contributions in a timely manner.
- Assist in developing and implementing stewardship plans to recognize and engage donors.
- Help grow and steward an entry-level donor portfolio and partner with the DDC to build long-term relationships with a growing list of individual donors.
- Maintain a schedule of donor communications to ensure ongoing engagement and relationships.
- Administer the donation and membership acknowledgement process (sending thank-you letters, emails, and membership packets).

Responsible for monthly outreach to lapsed and soon-to-be lapsed members.
Event Planning and Support (20%)
- Assist with the planning and execution of fundraising events throughout the year
- Provide support for annual fundraising Gala, including logistical support, assisting with setup of online ticketing, mailings, in-kind gift soliciting and tracking, and other duties as assigned.
- Help to recruit and coordinate volunteers as needed for special event functions.
Prospect Research & Cultivation (15%)
- Conduct research on potential donors, corporate sponsors, and grant opportunities.
- Assist with donor outreach strategies, including mailing campaigns and digital engagement throughout the year
- Support the cultivation of relationships through personalized communication and stewardship efforts.
Administrative & General Support (15%)
- File all donation-related paperwork and maintain organized filing systems.
- Engage in a regular reconciliation process with the Finance Director to ensure appropriate tracking and accounting of gifts.
- Answer phone and email inquiries regarding membership and donations.
- Assist with general clerical support for the department and agency as assigned.
- Other duties as assigned.
REQUIRED QUALIFICATIONS
- 2-4 years of experience working in nonprofit management, fundraising, or related field
- Prior experience working with Salesforce
- Strong computer skills: Windows, Microsoft Office, Google Drive, Dropbox, etc.
- Organized and detail-oriented with proven time management skills
- Ability to prioritize tasks and meet deadlines without sacrificing attention to detail.
- Excellent interpersonal skills.
- Must be available to work evenings and weekends as needed for special events.

- Interest in LGBTQ+ history and culture.
- Experience working with LGBTQ+ communities.
- Superior problem-solving abilities with acute attention to detail.
POSITION DETAILS & COMPENSATION
- This is a full-time (37.5 hours/week) non-exempt (hourly) position.
- Wage is $35.00/hour
- Working hours are somewhat flexible, within our open hours of 8:30 a.m. to 6:00 p.m.
- This is a hybrid position, working approximately three days per week in our offices at 989 Market Street and the remainder remotely.
The GLBT Historical Society offers a competitive benefits package, including medical, dental, vision, and commuter benefits, as well as 14 paid annual holidays. All regular, full-time employees are entitled to paid time off (PTO) based upon your years of active service, starting at 15 days in year one. A 401(k) employer matching program is available.
